This policy explains what personal information Urmston Town Juniors FC ("the club", "we", "us") collects about players and their parents or guardians, why we collect it, who we share it with, and your rights. It covers our website, our WhatsApp messaging, and our membership and payment systems.
1. Who we are
Urmston Town Juniors FC is a grassroots junior football club (an unincorporated association) based at Barton Clough Playing Fields, Stretford, Manchester, M32 9TG. We are the data controller for the personal information described in this policy.

2. What information we collect
About players (children)
- Name and date of birth
- Gender (for age-group and league registration)
- Relevant medical information you choose to tell us (e.g. allergies, asthma) so coaches can keep your child safe
- A photograph (used for FA player identity cards and team records)
- Which team and age group they play in, and their registration status
About parents and guardians
- Name and relationship to the player
- Home address
- Email address and mobile phone number
- Direct Debit mandate details for membership payments — these are held by our payment provider (GoCardless); we do not store your bank card or account numbers ourselves
- Records of payments (signing-on fees and monthly subscriptions)
- Your communication preferences and any consent you have given
From our website and messaging
- Messages you send us via WhatsApp or email, and our replies
- Information you submit through online forms (e.g. the contact form, the re-registration page)
- Basic technical information such as your IP address when you use the website (kept briefly in server logs for security)
3. Why we use it, and our legal basis
- To run your child's membership of the club — registering players with The Football Association and our leagues, organising teams, arranging fixtures, and collecting subscriptions and signing-on fees. Legal basis: performance of our membership agreement with you, and our legitimate interests in running the club.
- To keep children safe — holding relevant medical information and emergency contact details. Legal basis: our legitimate interests and, where it concerns health information, your explicit consent or substantial public interest in safeguarding.
- To communicate with you — sending you information about your child's team, registration, payments and club matters by WhatsApp, email or text. Legal basis: performance of our agreement with you and our legitimate interests.
- To use photographs — for FA player identity cards (necessary), and for promoting the club (e.g. on our website or social media) only where you have given consent, which you can withdraw at any time.
- To meet legal and regulatory obligations — including FA rules, safeguarding requirements and financial record-keeping.
4. Who we share it with
We do not sell your information. We share it only where necessary:
- The Football Association and our leagues (e.g. Timperley & District, Salford & District, Manchester Youth Soccer Leagues) — for player registration and competition administration.
- GoCardless — our Direct Debit payment provider, which processes membership payments on our behalf.
- Meta / WhatsApp — when we message you through WhatsApp Business, those messages pass through WhatsApp's systems.
- Team managers and coaches — who hold their own team's squad list and parent contact details to run training, matches and match-day arrangements.
- Service providers who help us run the club's systems (for example website and systems hosting), under appropriate data-processing terms.
- Authorities — where we are legally required to, or to protect a child's safety.
5. How long we keep it
We keep your information for as long as your child is a member of the club, and for up to 5 years afterwards — to maintain accurate historical and financial records and to meet safeguarding and FA requirements. Information that is no longer needed is securely deleted.
6. Your rights
You have the right to:
- Ask for a copy of the personal information we hold about you or your child
- Ask us to correct anything that is wrong or out of date
- Ask us to delete information where we no longer need it
- Object to, or ask us to restrict, certain uses of the information
- Withdraw any consent you have given (for example, consent to use photographs) at any time
To exercise any of these, email privacy@urmstontownjfc.co.uk. We may need to confirm your identity before acting on a request. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
7. Cookies and tracking
This website does not use advertising, analytics or tracking cookies. A small number of essential cookies are used only in the club's admin area (used by club officials). Pages load styling and fonts from third-party services (Google Fonts, Tailwind CDN), which may receive your IP address as part of delivering those files.
8. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be made clear on this page.
